Privacy Policy

1. Overview

This Privacy Policy explains what personal information the Lyallpur International Model United Nations (LIMUN), organized by the Youth Leaders Parliament (YLP) at the University of Agriculture, Faisalabad (UAF), collects through its registration and application forms, and how that information is used, stored, and shared.

2. Information We Collect

What we collect depends on which form you submit:

• Delegate registration: name, institute, email, phone, preferred committee, and (optionally) an Ambassador Code and portfolio/country preference.
• Delegation registration: institution name, head of delegation's name/email/phone, and each individual delegate's name and preferred committee.
• Campus Ambassador application: name, institute, email, phone, and optionally year of study, a social media handle, and a short statement of motivation.
• Committee Director / ACD application: name, institute, email, phone, position and committee applied for, a description of MUN/chairing experience, and optionally a link to a CV or portfolio.

We do not ask for or store your card number, bank account details, or CNIC on our own systems — payment credentials are handled directly by our payment gateway, Neem (see Payment Information below).

3. How We Use Your Information

We use the information you provide to:

• Process and confirm your registration or application;
• Assign and communicate committee, country, and personality allotments;
• Track which Campus Ambassador a delegate or delegation was referred by, so we can evaluate ambassador performance;
• Contact you about your registration, application status, or changes to the conference; and
• Maintain internal records for conference planning and reporting.

4. Payment Information

Delegate and Delegation registration fees are processed through Neem, a third-party payment gateway. When you pay, you are directed to Neem's own checkout, and your payment details are handled under Neem's privacy and security practices, not ours. We retain only the payment status (e.g. paid/pending) and amount associated with your registration, not your card or account details.

5. Email Communications

Confirmation, allotment, and application-status emails are sent from our organizing email address via our email service provider. We only email you about matters directly related to your registration or application — we do not sell or rent your email address, and we do not send unrelated marketing from third parties.

6. Data Storage & Security

Registration and application data is stored in a database on our hosting infrastructure and is accessible only through an authenticated admin dashboard used by the organizing team. Reasonable technical measures are used to protect this data, but as with any online system, we cannot guarantee absolute security.

7. Data Sharing & Disclosure

We do not sell your personal information. We share information only:

• With Neem, to the extent necessary to process a payment;
• With relevant bodies at UAF or YLP where necessary for conference administration (for example, verifying institutional affiliation); or
• Where required by law or a valid legal request.

8. Data Retention

We retain registration and application data for as long as reasonably necessary for conference administration, historical record-keeping, and — for Campus Ambassador data specifically — to evaluate performance across future editions of LIMUN. You may request deletion of your data as described under Your Rights below, subject to any records we are required to keep.

9. Your Rights

You may contact us at any time to request access to, correction of, or deletion of the personal information we hold about you. We will respond to reasonable requests within [X] business days.

10. Children's Privacy

LIMUN is intended for participants of school, college, and university age. If you believe a minor has submitted personal information without appropriate parental or guardian awareness, please contact us and we will address it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time, for instance to reflect a new edition of the conference or a change in how data is processed. The "Last updated" date at the top of this page reflects the most recent revision.
